The Organizer should request only documents necessary for the stated purpose.
People making a booking should not spontaneously send documents or sensitive information that has not been requested.
8. Recipients of the data
Your data is mainly accessible to [ORGANIZER NAME] and authorized members of its team who need access to manage your booking.
The Organizer also uses QuickBooking, operated by DOGOOLLE LTD, to provide the technical booking system.
QuickBooking generally acts as processor for data collected in the booking form.
9. QuickBooking
QuickBooking is a SaaS booking platform operated by DOGOOLLE LTD, Carlyle House, Lower Ground Floor, 235 Vauxhall Bridge Road, London SW1V 1EJ, United Kingdom.
QuickBooking allows the Organizer to receive bookings, manage time slots, view submitted information, send configured notifications and manage appointment-related functions.
QuickBooking processes this information on behalf of the Organizer according to the services used.
10. Transactional emails
The Organizer may use QuickBooking to send emails directly related to your booking.
These messages may concern confirmation, a reminder, a change, a rejection or a cancellation.
Where this feature is used, the information needed for sending may be processed by the transactional email provider used by QuickBooking. QuickBooking currently uses Postmark for this function depending on the applicable configuration.
11. SMS and messages
When the Organizer uses QuickBooking Messaging features, your phone number may be used to send messages directly related to your booking.
These communications may concern confirmation, a reminder, a change or a cancellation.
QuickBooking currently uses Twilio for certain communication functions. The Organizer must use these communications in accordance with applicable rules and only for the stated purposes.
12. Payments
Some bookings may require payment. When the Organizer uses QuickBooking Pro payment features, payment is processed using Stripe.
Your full payment card information is processed by Stripe. QuickBooking is not intended to store your full payment card number.
The Organizer receives payments according to the configuration of its own connected Stripe account.
13. Retention period
Data should not be kept longer than necessary. QuickBooking provides a standard retention period for booking-related data of 30 days after the relevant operational period.
The Organizer must however define the period that actually corresponds to its own processing and obligations.
Retention period applied by the Organizer: [RETENTION PERIOD]. When the Organizer exports data from QuickBooking, copies kept in its own systems are its responsibility and subject to its own retention policy.
14. Payment-related data
Some transaction-related information may need to be retained for a different period than ordinary booking data.
This may be necessary to meet accounting obligations, tax obligations, refund management or dispute resolution.
The Organizer must define the rules applicable to its own documents and financial data. Data retained directly by Stripe is also subject to Stripe applicable rules and obligations.
15. International transfers
QuickBooking is operated by a company located in the United Kingdom and uses certain international providers. Depending on the services enabled, some data may be processed or accessible from different countries.
QuickBooking governs transfers for which it is responsible in accordance with applicable rules.
The Organizer remains responsible for any international transfers it carries out itself after exporting or reusing the data.
16. Your rights
Depending on applicable law and your situation, you may have the right to request access to your data, correction of inaccurate data, deletion of certain data, restriction of processing, objection to certain processing and portability of certain data.
Some rights are subject to conditions and exceptions provided by applicable regulation.
